General Terms and Conditions of the 6th International Conference on Organic Agriculture Sciences (ICOAS)
1) Applicability
The 6th International Conference on Organic Agriculture Sciences (ICOAS) is organized by the Research Institute of Organic Agriculture FiBL and the Esterhazy Betriebe GmbH (‘the organizers’). All services provided in the context of the meeting will be subject to these General Terms and Conditions. By registering, you agree to these Terms and Conditions.
2) Concluding the agreement
Once you have registered for the conference, you will have concluded the agreement and receive confirmation by email.
3) Cancellation of attendance
Cancellations must be made in writing by the deadline date; telephone cancellations will not be accepted.
Refunds or credits will not be given for failure to attend, late arrival, unattended events or early departure.
Refunds will be processed 1-2 months after the meeting.
Where cancellation occurs more than 30 days prior to the start of the conference, an administration fee of 20% of the registration fee will be charged (up to and including 9 October 2018).
Where cancellation occurs more than 14 days prior to the start of the meeting, an administration fee of 50% of the registration fee will be charged (up to and including 24 October 2018).
Where cancellation occurs later than this, the registration charges are payable in full and no refund will be given. It is acceptable to send a replacement person to the meeting with appropriate written notification.
4) Refund policy
Refunds will be processed 1-2 months after the conference. Refunds of 30€ or less will be treated as a contribution and will not be refunded. Refunds due to overpayment or changes to an existing registration will be subject to a 20€ processing fee.
5) Changes to the programme, place or timing of the meeting
Where there is good reason to do so, the organizers are entitled to change the place and/or timing of meetings.
Attendees will then be permitted to withdraw.
Where there is good reason to do so, the meeting may be cancelled; any fees or charges that have already been paid will be refunded less an administration fee. No claims for compensation above and beyond this will be valid. Irrespective of this, the organizers may cancel the meeting up to 14 days before it starts without giving a reason (inclusive of 24 October 2018).
In case of force majeure, for example war, unrest, natural disaster, fire, strike, lock-out, sabotage by third parties, official order etc., neither party may hold the other liable for any delay to or non-performance of the agreement which results from this force majeure.
The organizers reserve the right to make changes to the programme.
6) Prices and services
The prices quoted in the programme cover the services listed in that programme. No compensation will be made for any services not accepted in their entirety.
7) Liability
Regardless of the legal reason, the organizers are only liable for financial and material damage arising intentionally or from gross negligence. The organizers accept no liability for: accidents occurring during the meeting, or en route to or from the meeting venue; theft; or loss of or damage to any items.
8) Data protection
All personal data will be treated as confidential. All data necessary for administrative purposes will be stored in strict compliance with the relevant provisions. Where appropriate, relevant data will be passed on to associated and third companies tasked with processing reservations. You are entitled to withdraw your consent to the above paragraph at any time.
9) Further information
With the registration the participant can declare to receive further information about future ICOAS and similar events organized by FiBL in the future. The participant agrees to the storage of his/her data for this purpose. This declaration can be revoked at any time in writing.
10) Photography
It is understood that photos are made at the venue and may be published for the purpose of documenting the event. Unless the participant declares his/her non-acceptance at the beginning of the event, the organizers assume that the participant agrees with the photos and their use.
11) Copyright
Duplication, distribution or public access to the conference materials is reserved exclusively to the author or authorized users.
12) Liability for technical equipment
Participants are liable for technical equipment, such as IR-receivers and headphones, received from the organizers during the conference. In case of damage or loss the organizer will charge the participant for their repair or replacement.
13) Applicable law and jurisdiction
The provisions of Austrian law shall apply exclusively to all relationships under the agreement. The place of jurisdiction for all claims relating to your order is Vienna, Austria. The organizers are also entitled to bring legal action under a different jurisdiction. Should any individual provisions be or become ineffective, this will not affect either the effectiveness of the rest of the agreement or these Terms and Conditions.
